How-to: Migrating to Document Type Management Structure

Introduction

This document is applicable only for migration of document structure for Exact Synergy Enterprise 241 or below.

Document type provides a more logical way to manage your documents instead of segregating them by categories. You have the option to migrate the document structure from categories to types by performing the migration process.

Before a database is converted into the document type structure, the existing document categories need to be mapped to the available document types. After the mapping has been done, only then can the final conversion be carried out. The final database conversion is a non-reversible process. As such, you can continue using Exact Synergy Enterprise after the mapping process even though it has not been fully converted.

The following sections describe all three processes required to fully migrate and convert the database to the document type structure.

Description

Pre-requisite

Before you can begin the migration process, your database must be Unicode-compliant. For more information, see How-to: Converting Exact Synergy Enterprise to Unicode Format.

Migration process

The steps taken in mapping the document types are as follows:

  1. In Microsoft Windows, click Start followed by Run. Type ”C:\Program Files\Synergy\bin\ExactDBConvert.exe” /S:<database_server /D:<database_name /M:Single (for example, "C:\Program Files\SynergyEnterprise\bin\ExactDBConvert.exe" /S:exact /D:vetrotex /M:Single) at Open and click OK.
  2. Next, click Connect to connect to the database. Alternatively, you can select a different server and database to connect to at Server and Database respectively.
  3. At Process PlugIns, select Migration Document to Document Type. You will see the following screen:

Under the Migration tab, select the document category (from Document Category in the left column) followed by the corresponding document type (from Document Type in the right column) that you want to migrate and click Add to List. Only up to a maximum of 10 categories can be mapped to a document type every time. However, all document categories have to be mapped even if there are no documents for that category. Click Show List to see the list of document categories that have already been mapped. You will see the following:

Note: To cancel the mapping of a document type, select the corresponding row and click Remove From List. There may be situations where different categories happen to have the same name. In this instance, it is not advisable to map these categories to different document types as this will confuse the system during the migration process.

  1. Click Start to begin step 1 of the process. After the mapping step has been carried out, you have to run two more steps in order to fully convert the database to support the document type structure.
  2. After step 1, click Start to convert document URLs to ensure all links are mapped correctly. You will see the following:

  1. After step 2 is completed, click Start to fully convert to document type structure. You will see the following:

  1. When done, click Close to exit. You will see the following:

Note: If you encountered the "Input string was not in a correct format." error when creating or opening a document after the migration process, reset the IIS (Internet Information Service).
